I am wondering what the protocol people are using when editing the user keynote text file. the problem we have run into is that two people can be in the text file at the same time therefore one of them will not be able to have their edit become relevant. so in our off ice we have been sending emails to those who are working on the project letting them know that I am getting into the text file and if someone is already init to reply to the email. we will follow that up with another email when we are done making our edits to let everyone know that I am out of the text file.

I am wondering if there is another way to prevent two or more people from making edits at the same time and only one of those edits showing up?

The way I have set up my firm to edit Keynote files is through Excel, and exporting that excel to a text file (tab delimited). If you all are on the same server, you can make excel files workshared, so two people can work at the same time and will not be able to edit the same elements concurrently.

If you tend to have a large number of people working on a project and its keynotes and often encounter mistakes being made, I would recommend using the process I have established for our firm. We use two Excel documents: "Keynotes Document for Working" and "Keynotes for Revit Import"... our projects tend to have a lot of keynotes and we number them by uniformat classification (ex. C1.01 would be the first keynote in the project pertaining to interior construction). The "Keynotes Document for Working" has each classification in separate tabs, the "Keynotes for Revit Import" is the compiled list from each of those tabs. Though this method has a couple of extra steps, it does eliminate user error (my coworkers are dinosaurs and Revit doesn't make much sense to them).
